Tips and tricks to help you get started with Kaiya, and some guidance on how to get more effective responses with good prompts.

Prompting Basics

Prompts are how you ask Kaiya to do something for you — like generate, explore, brainstorm, and summarize. Consider prompts as engaging in a dialogue, using simple yet precise language, and providing context as you would with an assistant. Below are some additional tips to consider when getting started with Kaiya. 

  • Speak Human - “Talk” to Kaiya like you’d talk to a human – in complete sentences and thoughts not just keywords.
  • Provide Additional Details in Your Prompts and Context - Instead of asking broad questions, narrow down your queries with details or contexts that will help the AI respond to your ask. If your question or request builds on previous information or a specific scenario, providing that context can greatly improve the relevance of the AI's responses.
  • Utilize Follow-Up Questions - If an answer isn't clear or doesn't fully address your prompt, don't hesitate to ask follow-up prompts. This can help refine the responses and provide deeper insights. This is not like searching for a result. It's about collaborating to build a response that works for you.
  • Experiment with Different Phrasing - If you're not getting the response you need, try rephrasing your prompt. Sometimes, a slight change in wording can make a big difference in the type of response you get.
  • Understand the Limitations and Provide Feedback - Recognize that Kaiya has limitations and can make mistakes like any generative AI system. Kaiya also only responds to Change Management related topics, so if you ask about building you a new workout routine it won't help you. If the output is of critical importance, always verify the information.
  • Be Polite - Say please and thank you. It's nice to be nice to the robots 🤖

The Recipe of a Good Prompt

Like any good recipe, a good prompt in Kaiya tends to have a common set of ingredients. The key is you should always season and modify to your own tastes and needs.

  • Goal - What are you trying to accomplish with the output? This might be helping you build a case for change management or helping you create an agenda for a workshop you are facilitating. Describe what goal you are working towards.
  • Context - What is the current state and future state you desire? Details might include change type, role, industry, or unique considerations. The richer the context, the more relevant the response will be.
  • Expectations - How should Kaiya respond to best meet your expectations? Is it a bulleted list, an agenda, a sample email, etc. Tell it what you want in the output

The below are some examples of prompts that could be useful depending on your context. 

For Change Practitioners

  • Based on your knowledge of change management principles, what behaviors can we expect from employees who are accustomed to the old process, and how can we prepare for potential resistance?
  • I am leading a change initiative at my organization to implement a new technology system, and I've noticed some resistance among the staff. I need to understand the reasons behind this resistance and develop strategies to overcome it. I'm looking for concise advice on how to identify the root causes of resistance and actionable steps to address them. The response should be in bullet points for easy reading.

  • I am a change practitioner on a project and the project manager won’t give me access to the Primary Sponsor, what should I do?
  • I am working on a Microsoft Teams rollout in a Fire Department, and the Fire Chief is not particularly fond of new technology. Can you help me build an ADKAR Blueprint and identify some key impacted groups? Make sure your ADKAR Blueprint accounts for a Sponsor who may be difficult to work with.

For People Managers

  • Please provide an agenda structure for a weekly change-focused meeting that includes time for updates, Q&A, and team engagement activities related to our new CRM system implementation.
  • What are some common questions employees might have about transitioning to a new process, and how can I answer them in a way that supports change adoption?
  • What are the key responsibilities and qualifications I should consider when creating a 'Change Ambassador' role within my team to facilitate communication with the change management team?

For Sponsors

  • I want to share a personal experience about the change in our upcoming all-hands meeting. Can you help me structure a story that emphasizes the positive impact and aligns with our company values?
  • I'm facilitating a kickoff event for our new change initiative. Can you provide an outline for the event that includes key activities to align stakeholders with our vision and objectives?
  • I want to ensure our communications reinforce how the change aligns with our 
    organization's values and long-term strategy. Can you help me integrate this message into our communication plan?
