ADKAR Assessments

Risk Assessments by Group

Overview

Under this section, you can view all the data for an Impacted Group from across Proxima into a single view.

 Can I export this page?

At the moment, no. There is no PDF or printer friendly version of this view today.

Can I edit data from this page?

At the moment, no. From this view we link out to a number of other places in Proxima should you need to update the data.

What data actually shows up for the Resistance and Role Roster sections?

The Resistance and Role Roster tables on the Impacted Group Overview page shows data that is linked specifically to that group or linked to the Overall Change. The reason we do this, for example, is if there is a specific anticipated resistance and special tactic created for the Overall Change, you may want that information viewed on a specific Impacted Group as well.

Change Impact Assessment

The Change Impact Assessment is comprised of a Yesterday-Tomorrow and 10 Aspects of Impact assessment.

 Complete a Change Impact Assessment:

  1. Click on [Change Impact Assessment] on the top navigation bar
  2. Fill out the relevant Yesterday-Tomorrow text boxes for the job aspects impacted for that group
  3. Add 'Degree of Impact' scores for each job aspect. Scores can't be left blank. In order to [Mark Complete] you must have a score of 0-5 in each of the 10 aspects.
  4. When finished, click [Mark Complete].

How is the Degree of Impact scored?

The degree of impact is calculated by two factors - the number of aspects impacted and the score of those impacted aspects. Proxima calculates the degree of impact score for each impacted group by dividing the sum of the impact scores for the 10 aspects (e.g. Processes, Systems, Tools, etc.) by the number of impacted aspects. An impacted aspect has a score greater than zero. Any aspect not impacted by the change (score = 0) is not including in the degree of impact calculation. Impacted individuals don't think about the job aspects that aren't impacted, only those that are. Removing aspects that are not impacted from the calculation, results in a score that more accurately reflects what the members of an impacted group would perceive the magnitude of the impact to be.

ADKAR Assessments

Schedule and complete ADKAR assessments to support and track impacted groups and individuals through the change.

To complete an ADKAR Assessment for an impacted group:

  1. Click on to the [+ADKAR Assessments] at the top of the page.
  2. Enter a name for the assessment, select a date and then choose the scoring [Entry Type].
    1. The Score Select option allows you to score the assessment using the standard score bar.
    2. The Decimal Entry option allows you to score the assessment manually, providing an option for entering averages if you used a survey tool to assess multiple individuals or groups.
  3. From here, you can either:
    • [Save] to schedule the assessment but complete it later
    • [Go to Assessment] to fill out the assessment and [Mark Complete]
  4. Once you mark the assessment complete, the results will show on the right-hand side under the Barrier Point modal. Here you can view your barrier point (first ADKAR element to score a 3 or below) and guidance for resolving a barrier point under the [Analysis and Actions]

Can I edit my ADKAR Assessment?

Yes, you can edit the assessment under the [Edit] tab at the top of the page, which gives you a number of editing options:

  • Edit the assessment name by clicking into the box and editing
  • Edit the date by clicking on the date selector
  • Under the [Impacted Group(s)] drop down, you can edit what groups you are assessing for the assessment, however a couple things to note:
    • You can add additional groups to an assessment by selecting them from the drop down. This will add Connected Group Assessments which you can view on the assessment page, under the Barrier Point modal.
    • If you try to remove a group, or change the group to 'Overall Change' you will be alerted that it will clear any current scores for the assessment, including [Connected Group Assessments].
  • You can edit the [Entry Type], however you will be alerted that doing so will clear any current scores for the assessment, including [Connected Group Assessments].

At the bottom of the page, you will see two additional options, [Move Assessments] and [Delete Assessment].

What does the [Move Assessments] allow me to do?

If you completed individual assessments for your Impacted Groups and want to regroup them under one assessment, you can do so by using the [Move Assessments] option.

For example, you many want to move a number of completed individual assessments into one ADKAR Assessment that represents a key milestone date. You can do this by either creating a new ADKAR Assessment and moving one or more group assessments over to it, or by moving group assessments over to another group assessment.

Risk Assessment by Group

This assessment allows a practitioner to complete a Risk Assessment at an impacted group level.

To complete a Risk Assessment by Group by:

  1. Go to your Impacted Groups under [Assess Change Impact - Impacted Groups] and choose the impacted group you want to assess.
  2. Click on to the [Risk Assessment by Group] at the top of the page.
  3. Fill in the scores both sections [Change Characteristics] and [Organizational Attributes].
  4. When finished, click [Mark Complete]

Can I start with the answers from an already completed Risk Assessment for the overall change?

Yes.

  1. If you have completed an Overall Risk Assessment, you will see a button in the top right corner of the Risk Assessment by Group page that says [Use Risk Assessment Responses].
  2. Click on the button and confirm that you would like to import the responses from the overall Risk Assessment. You can edit scores as required/needed. Importing responses will replace any existing responses you may have already input in the assessment for this group.
  3. When finished click [Mark Complete].

NoteYou cannot link scores from a completed [Risk Assessment by Group] to the overall Risk Assessment. Prosci recommends always starting with an overall Risk assessment, and then addressing the Risk at the impacted group level.

Additionally, if you import the overall answers to the Risk Assessment by Group, any future edits you make on the overall Risk Assessment will not sync to the group assessment.

Where does the Risk Assessment by Group results show up?

The Risk Profile will show on the Impacted Groups page, in the Risk Profile column, and on the Project Dashboard in the Key Impacted Groups widget.
